Manage guests

What this feature is for

The Guests screen is the directory of everyone who books at the active restaurant. Open a guest to see their profile and timeline: past and upcoming bookings, status changes, and internal notes, so you can recognise regulars and prepare for their next visit.

Who can use it

Owners, Admins, and Staff can open the directory and create guests. Viewers can read the list and a guest's timeline but cannot make changes.

Availability and required module/permission

Guests require the Booking Engine module. Creating a guest is available to Owner, Admin, and Staff; editing an existing guest's identity, including their email, is limited to Owner and Admin.

Prerequisites

No special configuration is needed. Guests are scoped to the active restaurant, so a guest created in one restaurant does not appear in another.

Common tasks

  • Create a guest: open the directory and use New guest to record a name, email, and phone.
  • Edit a guest: open the guest and update their details (Owner and Admin only).
  • Review history: open a guest to read their booking timeline and internal notes.

Buttons and statuses

The directory lists guests with their contact details and recent activity. A guest's timeline groups their bookings by status so upcoming visits stand out from past ones.

Warnings and important constraints

Guest records hold personal data (names, emails, phone numbers). Handle them with care and only share exact values when genuinely needed. Internal notes stay in the back office and are never sent to guests.

Troubleshooting guidance

If an email cannot be saved because another guest already uses it, that address is taken within this restaurant. Check for an existing guest with that email rather than creating a duplicate.
